NOTICE OF ELECTRONIC MONITORING OF POINT-OF-SALE TRANSACTIONS
[Business legal name] (“the Company”) gives you this notice that transaction records created on the Company's Clover point-of-sale system are monitored.
What is monitored. Records of orders, payments, refunds, voids, discounts and cash-drawer openings that are entered on the point-of-sale system, including the employee login under which each record was created, the time, the amount and the payment type. This monitoring is carried out through the point-of-sale system's records and through a reporting service, Cash Over Short, that reads those records.
Where. This monitoring applies at the following premises: [list each location address].
Why. To reconcile sales and cash, to identify transactions that fall outside the Company's policies so they can be reviewed, and to protect the Company's assets.
How results are used. The reporting service identifies transaction patterns for the Company to review. It does not decide anything about any employee. Before any employment decision is made in connection with a flagged transaction, the Company will review the underlying records and will give the employee concerned an opportunity to explain.
What is not monitored. This notice covers point-of-sale transaction records only. It does not involve cameras, audio, personal devices, personal email or personal social media. [Amend if the Company also uses other monitoring, which may require its own notice.]
Retention. Transaction records are retained by the point-of-sale provider under its terms and by the reporting service for [13] months after the Company stops using it.
